We are currently recruiting, for the Italian unit of a prestigious global Company, leader in the IT Industry (web search engine, mail provider, web services, hardware products ecc.), based in Milan, an:

Administrative Assistant

MAIN RESPONSIBILITIES:
•To manage the administration in an efficient, effective and professional manner
•To ensure that core administrative processes are managed and delivered effectively
•To provide high level administration support
•To provide Communication and PR support to the GM/Lead

Key tasks include:
Practice Lead Agenda scheduling:
•Managing the Calendar and accommodating day to day meeting requests and evaluating levels of priority
•Anticipating participation in key events/meetings
•Contacting key meeting stake-holders to evaluate needed attendance
•Planning and organizing meetings and conference calls, subsidiary internal meetings/events, interviews (internal & external) with HR and recruiting agencies
•Ensuring all necessary details are available (travel, location, conference call, briefings, etc.)
•Arranging travel incl. ownership of expense/travel reports
•Raising travel PO’s for offsite events
•Control paper workflow: daily signing of documents, sorting of delivered mail and periodicals
Practice Lead related event organization/management as well as tasked events from the Practice Lead
Coordination & Communication related tasks:
•Delivering high quality and timely responses to incoming telephone calls, emails and correspondence.
•The ability to handle irate customer telephone calls and effectively transferring them to the relevant department and following up on the problem / issue.
•Raising purchase orders and tracking invoices.
•Managing department logistics, administering office maintenance and furniture requests, placing stationery orders.
•Acting as the main point of contact for the team when they are out of office, or away from their desks.
•Co-ordination of team off sites/events/meetings.

Experience requirements:
•Experience in dealing at all levels both internally and externally.
•Excellent computer literacy in a wide range of software packages including Microsoft Outlook, Word, Excel and PowerPoint
•Fluent in English and Italian (Spoken and Written)
