I'm looking for a Business Support Assistant part time (people protected by Law no. 68 of 12 March 1999) for a company leader in the In Vitro Diagnosis (IVD) industry.
Main responsabilities:
-General secretarial and administrative tasks, (correspondence, phone answering, facility management support, telephone coverage, calendar management, etc.).
-Supporting Company in processing the purchase orders from the receipt to the delivery of the goods
-Processing orders for internal customers.
-Answering customers' queries concerning purchase orders, reagent prices and information, delivery of shipments, invoices, commercial and sales enquiries.
-Supporting Company in organization and coordination of internal and external meetings, these include departments' team meetings, video and teleconferences.
-Supporting Company in organization of travels (trains and flights), liaise with Marketing function and communicate with customers attending meetings and training courses.
-Support internal and external personnel Travels and accommodations cooperation with the travel agency and external parties if needed.
-Monthly administration (expenses and mileage, holiday and sickness forms, salary instructions, etc.)
-Supporting Company car policy implementation.
-Supporting Company phones policy in management of mobile telephone contract.
-Support in answering to correspondence from suppliers.
-Check incoming invoices and remittance advice and forward to Finance & Administration dept.
-Support on invoice queries from creditors and debtors in coordination with the Finance & Administration dept.
-Support to Finance & Administration in Credit controlling of debtors
Skills/Experience/Knowledge:
-3/4 years of progressive experience in administration
-excellent Excel skills
-fluent in English
-accuracy in carrying out tasks assigned.
Offering: direct contract with the company, part time 20 hours/week, gross salary 25k.
